We are a busy private medical clinic in East Yorkshire, and are looking for an enthusiastic and friendly individual to join our administrative team. The role is patient facing and will involve:
Offering general assistance to the clinic team and projecting a positive and friendly image to patients and other visitors, either in person or via the telephone, social media and email.
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Undertake a variety of administrative duties to assist in the smooth running of the clinic including the provision of clerical support to clinical staff and other members of the practice team. Facilitate effective communication between patients, members of the health care team, secondary care and other associated healthcare agencies. Rate of pay will be determined by level of experience. The successful candidate will have a six month probationary period. 30 hour contract over 5 days weekly.
Main duties of the job
Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
Processing and distributing incoming and outgoing mail.
Taking messages and passing on information in a timely manner.
Filing and retrieving paperwork, in accordance with GDPR.
Processing repeat prescriptions in accordance with clinic guidelines.
Computer data entry/data allocation and collation, processing and recording information in accordance with clinic procedures.
Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.
Providing clerical assistance to clinic staff and other staff members within the building as required from time to time, including word/data processing, filing, photocopying and scanning.
The Sanctum Medical Clinic provides private and cosmetic medical treatments to the public. We have a team of clinical and non-clinical staff who work seamlessly to provide our patients with a smooth and comfortable experience. We have four nurses, one of whom is a prescriber, a skin therapist and three non-clinical staff. We have a strong belief in holistic care and strive to provide all visitors and patients to the clinic with a friendly and patient centered experience.
We opened our doors in July 2021 and the team has grown in this time, with lots of exciting changes and developments to come.
The following are the core responsibilities of the Medical Receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels, there will also be on occasions the need to travel as we host locality clinics in London and are keen on staff training days:
Process personal, telephone and e-requests for appointments.
Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately.
Respond to all queries through social media and digital platforms.
Signpost patients to the correct service.
Process incoming and outgoing mail.
Initiating contact with and responding to requests from patients, team members and external agencies.
Photocopy documentation as required.
File and store records as required.
Data entry of new registrations and relevant patient information as required.
Input data into the patient's healthcare records as necessary.
Scanning of patient related documentation and attaching scanned documents to patients healthcare records.
Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team.
Manage all queries (including administrative queries) as necessary in an efficient manner.
Maintain a clean, tidy, effective working area at all times.
Support all clinical staff with general tasks as requested.
Take payments and cash up daily.
GCSE grade A to C in English and Maths.
Previous experience in a similar role i.e. medical or dental receptionist.
The ability to work individually or as part of a team.
To be able to apply yourself in an appropriate manner in a potentially challenging environment.
Must hold a Full UK Driving Licence.
Experience of working in private and or cosmetic medical care is desirable but not essential as full training will be provided.
